Conference Venue Information

  • Symposium Location: Hyatt Regency Wichita, located at 400 West Waterman Street, Wichita, Kansas, 67202.
  • Parking: Parking will be complimentary for those staying at the Hyatt Regency and the Wichita Marriott. For those not staying at the Hyatt Regency, be sure to get a parking pass from Heiata or Elizabeth to exit the garage for free during the symposium. A map of the parking areas can be viewed on the maps page.
  • Hotel Rooms:
    • Due to the number of registrants attending the Symposium, it was necessary to secure an additional block of hotel rooms at the newly remodeled Wichita Marriott, located at 9100 Corporate Hills Drive, in Wichita.
    • If you registered for a hotel room, you should have received your hotel confirmation number. If you have not, please immediately contact Heiata Chapman, [email protected].
  • Internet Access:
    • Guest Rooms: The hotel offers complimentary Wireless internet access (up to 4MBps connection based) in the guest rooms, lobby, and restaurant.
    • Meeting space: Standard Internet access will be available in the General Session meeting room.
  • Meals: The K-INBRE will provide complimentary meals for registered attendees. The Friday night dinner will be served in the Grand Eagle Ballroom. Breakfast and lunch will be served in the Cypress Ballroom and Foyer. The Saturday evening dinner will be held in the Redwood Ballroom. The menu can be found here.

Check-In/Events

  • Symposium Events: To help you find the Symposium events noted in the program, visit the maps page for to the Hyatt Regency Wichita floor plan. The hotel map can also be found in the program booklet.
  • Symposium Early Check-In: We will be offering early check-in for the meeting on Friday, January 17th from 3:00 pm to 4:30 pm in the Grand Eagle Ballroom Foyer. K-INBRE representatives will be available at the registration desk.  After this time, the K-INBRE staff will be away at a Network Steering Committee meeting. Please help yourself to dinner in the Grand Eagle Ballroom (6:00-8:00pm).
  • Friday Night Dinner: On Friday evening, you will have a chance to view your iPoster on the large touch screen monitors. An iPoster representative will be available to assist you with any questions. Dinner will be served from 6:00 pm to 8:00 pm in the Grand Eagle Ballroom and foyer. This is an opportunity to meet students and faculty from other INBRE universities.
  • Friday Night Event: BioKansas will be piloting an Effective Data Visualization Workshop from 6:30-8pm in the Trail Rooms. Intended audience: Early career scientists interested in learning best practices for designing effective visuals and storytelling through data. Faculty and other scientists are welcome to attend. Participants will learn:
    • Storytelling through data visualization
    • How to select the most effective graph types for your data and which to avoid
    • Best practices around designing effective tables, figures, and legends
    • What to know about color
    • Utilizing effective data visualization to advance your career

Poster/Oral Competition

  • Oral presentations: Notifications were sent to those selected to present. Thank you to all those who submitted an abstract to be considered for an oral presentation. You can view the schedule here for more details.
  • iPosters:
    • If you registered to present a poster and have not yet received the email with your login credentials, first check your spam folder. If you don’t find it there, please contact the iPoster helpdesk at this address: [email protected].
    • Please publish your iPoster by January 3. This lets us know that you are able to access the system and allows for quality assurance checks. You can continue to work on your poster after it has been published.
    • You can preview the iPoster Gallery here. Once your poster is published, it will appear in the Gallery.
  • Poster Session:
    • The poster sessions will be held in the Grand Eagle Ballroom on Saturday afternoon between 1:00 and 6:50 pm. We will have 40 monitors for iPoster presentations. There will be four poster sessions on Saturday each lasting 1 hour. Your iPoster monitor will have the same number as your abstract number in the symposium booklet, so you can identify where and when you will present. Please transition quickly when your poster session ends, to allow the next presenter time to prepare.  Stop by the iPoster help desk or the registration desk, if you have questions or need help pulling up your poster.

    • Posters must be finalized by 1:00 p.m. on Saturday, January 18, 2020. Once your poster is published, it will appear in the Gallery. To preview the iPoster Gallery, you may visit this link.
    • K-INBRE representatives and industry judges selected by BioKansas will visit the monitors during the poster sessions on Saturday. Please prepare a 2-minute summary of your research project/poster and include the potential for future applications/commercialization. Awards will be given to the top 10 trainee posters on Saturday.
    • Remember:
      • Please be available at your monitor during your assigned poster session to discuss your poster with the judges, as the judges will advance through the posters very quickly.
      • You may choose to opt out of presenting the two minute summary to the judges, but you will not be eligible for a poster award.
      • You are encouraged to visit your colleagues’ iPosters.
    • All trainees selected to give an oral presentation should attend the award presentation at ~11:35 AM on Sunday, January 19, 2020.

Photo Opportunities

  • University Photos: A photographer will take group photos for each university. To find the scheduled time for your University group photo please visit here.
  • Headshot:
    • All participants are welcome to take a complimentary professional headshot during the poster session on Saturday.
    • How should I prepare for my Headshot? Wear a professional outfit that fits well and makes you feel your best. It should be interview appropriate. A solid colored shirt, with a darker jacket is recommended; avoid busy patterns and stripes.
